Practice Policies
These policies outline the terms of service, confidentiality, and responsibilities for consultations, products, and services provided by Sara Judd Naturopathy. By booking and attending an appointment, or by purchasing products through this practice, you confirm that you have read, understood, and agreed to the following.
1. Payment, Cancellations, No-Shows & Late Arrivals
Payment timing: Payment is due at the time of consultation unless otherwise agreed.
In-person (Kunara): Payment must be finalised at the Kunara registers immediately after your appointment. If payment is not completed at the registers, the card on file may be charged for the consultation fee.
Online consultations: A valid payment method must be kept on file. Payment is processed electronically after the consultation.
Cancellations: Appointments must be cancelled or rescheduled with at least 24 hours’ notice.
Fees: Cancellations with less than 24 hours’ notice, or failure to attend, will incur a 50% consultation fee, charged in accordance with this policy.
Late arrivals: If you arrive late, your consultation will still finish at the scheduled time to respect other clients, and the full consultation fee applies.
Parking: Please allow enough time for parking, finding the clinic, and settling in before your appointment.
2. Refunds, Products & Supplement Ordering
Consultations: Refunds are not available for missed appointments or cancellations with less than 24 hours’ notice. If you provide sufficient notice, any pre-payments may be refunded or credited in full.
Products purchased in person (Kunara):
All product sales are processed directly through Kunara Marketplace.
Payments, refunds, returns, and exchanges follow Kunara’s policies.
Sara Judd Naturopathy is not responsible for refunds or replacements for items purchased at Kunara.Products ordered via Vitally:
Supplement purchases are processed directly via Vitally’s secure platform.
Payments, refunds, returns, and delivery are managed by Vitally in accordance with their own policies.

For online consultations, herbal prescriptions are compounded and shipped directly to you through my professional dispensary partner. Each product arrives with a label containing your name, dosage instructions, and directions for use. Packaging is discreet and unbranded.
Payment is made at the time of your consultation, and I will arrange the order on your behalf. Delivery is usually within 1–3 business days (longer for rural or interstate addresses).
As prescriptions are compounded individually, refunds or exchanges are not available once an order has been placed. Please check your details and address carefully before confirming your order.
3. Pathology & Functional Testing (NutriPath)
Recommendations: Functional and pathology testing may be recommended as part of your treatment plan.
Fees: Vary depending on your individual needs and will be discussed at consultation.
Payment: Once a test is selected, you will be invoiced directly by Sara Judd Naturopathy. Payment is required before the test kit is ordered.
Refunds: Refunds are not available once a test has been ordered, as laboratories begin processing immediately.
Results: Results are sent directly to Sara Judd Naturopathy and reviewed with you in consultation. Results are not released outside of a booked session.
Limitations: Processing, pricing, and timelines are the responsibility of NutriPath. Sara Judd Naturopathy is not liable for laboratory delays or outcomes.
4. Privacy, Confidentiality & Use of Heidi AI
Collection: Personal and health information is collected through intake forms, consultations, treatment notes, and communications.
Storage: Records are securely stored in Halaxy, which complies with Australian privacy and health record laws.
Adult records are retained for at least 7 years from last contact.
Records for minors are retained until age 25 (or longer if required).
Sharing: Information is not shared without your consent, except where required by law or if there is serious risk to your health or safety. With permission, relevant information may be shared with your GP, specialist, or other healthcare providers.
Your rights: You may request access to your records or corrections if details are inaccurate (requests must be made in writing).
Heidi AI Digital Scribing
To improve accuracy and allow more client-focused consultations, Sara Judd Naturopathy may use Heidi AI, a secure digital transcription tool.
Consent: You will always be informed if Heidi AI is used, and your verbal consent will be requested before recording begins.
Privacy & security: Heidi AI complies with Australian privacy standards. Transcripts are used only for consultation notes and stored securely.
5. Scope of Practice & Disclaimer
Complementary care: Naturopathy is a complementary healthcare approach, not a replacement for medical treatment.
No guarantees: Outcomes cannot be guaranteed.
Advice: Recommendations are given in good faith.
Liability: Clients accept responsibility for following advice and using products correctly.
General information: Information provided in consultations, email, or website is educational and may not account for individual medical history.
Emergency: This practice does not provide urgent care. For medical emergencies call 000 or attend your nearest hospital.
6. Communication
Scheduling & admin: Contact by email or phone for appointment scheduling or admin matters.
Clinical questions: Clinical/health questions cannot be answered outside of a booked consultation.
Response times: Emails and calls are responded to during business hours as promptly as possible.
7. Telehealth and Phone Consultations
Availability: Phone or secure video available.
Client responsibility: Ensure a private, quiet space with stable internet.
Confidentiality: The same privacy and consent policies apply as in-person consultations.
8. Consent & Minors
Clients under 18 must have a parent/guardian present during consultations.
Consent must be provided by a parent/guardian for all care.
9. Grievances & Feedback
Feedback is welcome.
Concerns should first be raised directly with Sara Judd Naturopathy.

10. Proper Product Use
Directions: Products should be used only as directed.
Third-party products: Manufactured by third parties; no warranties are made regarding effectiveness or suitability.
Liability: Sara Judd Naturopathy disclaims liability for injury, cost, loss, or damage resulting from misuse.
11. Protocols, Programs & Educational Materials
General info only: Any sample protocols/programs on the website are informational.
Individualised care: Personalised treatment plans are created only after consultation.
Intellectual property: Handouts/guides are for personal use only and must not be copied, distributed, or shared without permission.
12. Private Health Insurance Rebates
From 1 July 2025, naturopathy is reinstated as an eligible service under Australian private health insurance.
Coverage varies — each insurer decides whether to include naturopathy.
Clients must check with their insurer if naturopathy is covered under their policy.
Receipts: Itemised receipts are provided so you can claim rebates if applicable.
Rebates are not guaranteed.
13. Agreement
By booking and attending an appointment or purchasing products via Sara Judd Naturopathy, you confirm that you have read, understood, and agreed to these Practice Policies.
